The John Templeton Foundation provides support for research and the dissemination of research in a variety of areas. Typically, projects involving research and dissemination do so in the context of different, specific Big Questions that lie within and at the intersection of multiple disciplines. More specifically, the Foundation supports work that seeks to uncover the fundamental nature of reality, including work in physics, biology, philosophy, theology, mathematics, and the social and human sciences. In addition, the Foundation supports research and programs in areas such as Freedom and Free Enterprise, Genetics, and the discovery and nurturing of Exceptional Cognitive Talent and Creativity.

Reporting to the Director, Human Resources, the Office Support Associate/Archivist will serve as the point person for JTF records of enduring value and provide office, research, and special projects support for Operations area departments, including HR/Facility Operations and Grants Administration.

Primary Areas of Responsibility

Archiving

  • Oversee document conversion projects by working with internal staff and external vendors to create electronic documents and corresponding document management systems.
  • Research Foundation documents to assess enduring value and create useful archives.
  • Select records to create Foundation archives through understanding of the historical context in which the records were created, the uses for which they were intended, and their relationships to other sources.
  • Assist Foundation colleagues in navigating archival documents to support Foundation events, projects, and initiatives.

HR/Facility Operations

  • Provide oversight for the ongoing management and upkeep of Foundation office equipment, including copiers and postage machines.
  • Act as the primary contact for office support services, including courier services, vending services, document destruction, and off-site storage.
  • Provide special projects support, as needed.

Grants Administration

  • Provide administrative support, including mailing coordination, copying projects, and file management.
  • Assist with annual preparation of Expenditure Responsibility Reports.
  • Provide support for performing weekly tax status verifications and OFAC vetting of board members and key personnel associated with grants.
  • Draft payment letters, including verification of contact details and payment information, as needed.

The successful candidate for this role is detail-oriented with a demonstrated ability to support multiple departments, projects and tasks, as well as the ability to exercise sound judgment, maintain confidentiality, and make independent decisions based upon established policies and procedures. Strong interpersonal, communication, organizational, and editing skills are essential. At least 3 years' experience in administrative operations is required. Experience with grant-making processes is preferred.
